Terms & Conditions

These terms apply to photo and video work commissioned from Visual Twins and to the use of this website. Each booking is also confirmed in writing, with its own scope, dates and deliverables; where that written confirmation differs from what follows, the confirmation prevails.

1. Booking and confirmation

A request sent through this site, or a call booked through it, is not yet a booking. Your date is held when we have confirmed it in writing and the deposit has been received. Until then the date remains available to others — during fashion weeks and festivals it usually does not stay available for long.

2. Fees and payment

Fees are quoted per commission and set out in the written confirmation. A deposit of [PERCENTAGE] is payable on confirmation and the balance [WHEN]. Payments are processed by Stripe or by bank transfer. All amounts are exclusive of VAT where VAT applies.

Travel, accreditation, permits and any third-party costs are charged separately unless the confirmation says they are included.

3. Changes and cancellation

If you cancel more than [PERIOD] before the date, [TERMS]. If you cancel within [PERIOD], [TERMS]. A date may be moved once, without charge, subject to our availability; a second change is treated as a new booking.

If we cannot attend for a reason within our control we will offer a qualified replacement or refund everything you have paid. We are not liable where an event is cancelled, an accreditation is withdrawn, or access is refused by an organiser, a venue or an authority, nor for causes outside our reasonable control.

4. How we work on the day

At accredited events we work within the rules set by the organiser: pit positions, timings and access are theirs to decide, and we cannot guarantee a particular vantage point or a particular subject. What we guarantee is our presence, our coverage of the agreed moments, and the standard of the work.

5. Delivery

A first selection is delivered within [TIME], and the complete edited set within [TIME] of the event, through a private online gallery. Galleries stay online for [PERIOD]; please download your files within that period. We keep a backup for [PERIOD] and no longer.

Selection and editing are ours: we deliver the edited take, not the unedited camera files, which are working material and are not released.

6. Image rights

Copyright in every photograph and film remains with Visual Twins, as Italian Law 633/1941 provides. What you receive with the fee is a licence to use the delivered work [SCOPE: duration, territory, media]. Uses beyond that — and in particular advertising use, resale and licensing to third parties — need our written agreement and are quoted separately.

Please do not crop, recolour or apply filters to delivered work in a way that alters its character, and please credit Visual Twins when the images are published, in the manner the platform allows.

Unless the confirmation says otherwise, we keep the right to show the work in our portfolio, on our website and on our social channels. If a commission is confidential, tell us before it starts and we will record that in writing.

7. People in the pictures

Where a commission involves identifiable people, you are responsible for obtaining the permissions the venue and the participants require, and we are responsible for handling the images in line with our Privacy Policy. Anyone portrayed may ask us to remove an image from our own channels by writing to info@visualtwins.it.

8. VT Media

Access to a VT Media gallery is personal. Please do not share the link publicly or use the platform to obtain images of people other than yourself. Facial recognition is optional and consent-based, and it is described in full in our Privacy Policy.

9. Liability

Our liability for a commission is limited to the fee paid for it, except where the law does not permit that limit — in particular for death or personal injury, and for our own fraud, wilful misconduct or gross negligence. We are not liable for indirect or consequential loss.

10. If you are a consumer

Where you book as a private individual rather than for a business, the Italian Consumer Code gives you rights that these terms do not affect, including the right to withdraw within fourteen days of a distance booking. That right does not apply to services tied to a specific date, which is the case for event and wedding coverage, and by confirming such a date you acknowledge this.

11. Governing law

These terms are governed by Italian law. Disputes are subject to the courts of [JURISDICTION], except where you book as a consumer, in which case the courts of your place of residence have jurisdiction.
